Wholesale trade

A system for wholesale pallet trade: purchases, sales and waste. An order holds the goods, the carrier, the waste and the invoice. You see stock by warehouse: good, reserved and repairable pallets.
  • You move an order by status from the warehouse to closing in accounting
  • You update the reservation right in the stock list
  • You set separate purchase prices for good and repairable pallets
  • The debtor list shows the debt and how many days the invoice is overdue

Track all company processes

First you agree on the contract and prices with the customer. In the order, the warehouse enters the preparation date, the logistics manager enters the carrier and loading date, and accounting closes the order. On the dashboard you see debtors, inactive customers, sales and purchases.

Order statuses

On the order card you see the manager, phone, status and creation time.

  • The warehouse enters the planned preparation date and so confirms the order
  • The logistics manager enters the planned loading date and so confirms transport
  • Marks that the truck has arrived, loading is done and accounting has closed the order
  • The warehouse can cancel the order

Purchase and sale

In a purchase you specify the supplier, loading location, address and purchase contract type.

  • In a sale - the buyer, unloading address, contacts and delivery note remarks
  • Planned quantity next to the delivery note quantity, so you spot a mismatch at once
  • Sale profitability and profitability after the transport cost
  • Manager revenue and the number of pallets and collars sold

Transit and containers

For transit you specify the transport, company and address.

  • You mark transport arrival in the same order
  • In a container order - the customer's requested date and up to two containers
  • Buyer's unloading address, contacts, payment type and payment term in days
  • A completed order goes to accounting to issue the invoice

Warehouse stock

You see stock by warehouse, product group, dimensions and product.

  • Good, reserved, remaining after reservation and repairable pallets per product
  • Stock operation with the warehouse, products and a note
  • Operation date and warehouse worker, so you know who changed the stock
  • Daily warehouse capacity for purchases and sales

Receiving at the warehouse

Receiving starts with the license plates and the unit count on the delivery note.

  • The warehouse worker marks the start and end of unloading
  • When checking for defects, wooden pallets are separated from waste and secondary raw materials
  • Minimum of 10 kg for secondary raw materials, waste weight in tons
  • Goods are split into good and repairable, and receiving is confirmed or rejected

Waste and GPAIS

In a waste order the manager specifies the type, and the warehouse worker refines it and enters the weight in tons.

  • Sorting service if sorting took longer than 15 minutes
  • Environmental mark that the trip details and actual weight are entered in GPAIS
  • In the price list - waste code and acceptance fee per ton for each type
  • In the price list - a document proving the recycling fee

Carriers and transport

On the carrier card you keep the company details, address and contact person.

  • In the order - carrier, driver, license plates and transport order number
  • Quantity in LDM based on a 2.5 m height, weight in tons
  • Transport prices for 6 LDM and 13.6 LDM loads
  • Actual transport cost and the carrier's invoice with number, amount and date on the order

Contracts and prices

You make a standard or non-standard contract, with the original contract and annex numbers.

  • You submit the contract to the director, send it to the customer, return it for changes or approve it
  • Validity mark and pricing change as a separate step
  • Purchase line - price for good and repairable pallets; sale line - requirements and price
  • Factoring amount and payment term on the contract

Customer card

You record a customer as a company, a foreign company or an individual.

  • Company details, address, working hours, contacts and assigned manager
  • Separate addresses for accounting, logistics and environmental matters, so each team finds its own
  • Customer profile form: annual volume, equipment, certificates, FSC and who the customer works with
  • Communication history with date and comment, so a colleague sees what was agreed

Debts and plans

In the debtor list you see the invoice, due date, days overdue and debt.

  • Sales and purchase turnover: customer, amount excl. VAT and change from the previous period
  • Plans for sales, purchases and waste
  • Yearly, quarterly or monthly plan split among managers
  • Separate warehouse plans

How the system benefits your business

The order status shows who is handling it now. You do not need to call the warehouse or the logistics manager to ask whether the truck is already loaded.

Order flow

  • Buyer and supplier

Addresses, contacts and the payment term are in the order, so you do not search for them.

  • Statuses

The warehouse, the logistics manager and accounting mark their step in the same order.

  • Quantities

You see the planned quantity next to the delivery note quantity and spot the difference.

Warehouse and transport

  • Stock

You see how many pallets remain after reservation, so you know what you can sell.

  • Receiving

The warehouse worker splits received goods into good and repairable pallets.

  • Carrier

The carrier, the driver and the actual transport cost are on the order.

Contracts and money

  • Contract

You see whether the contract is with the director, with the customer or already approved.

  • Prices

You apply separate prices to good pallets, repairable pallets, waste and transport.

  • Invoice and debt

The invoice is linked to the order, and you see overdue debt in days.
