Cleaning services

A system for cleaning companies. At each site, you see the cleaning schedule, the cleaners and the chemicals budget. Quality assessments and recurring invoices are also linked to the site.
  • You keep the site with the client, address, area and both managers
  • You repeat the schedule weekly, every other week, once or twice a month
  • In the calendar, you see which cleaner works at which site on which day
  • You issue chemicals to the site within the monthly budget

Track all company processes

On the home page, you see today's cleanings, active sites and the number of cleanings done this year. Reminders show a one-off cleaning without a team, an upcoming recurring invoice and a vehicle's insurance or technical inspection.

Clients and sites

In the site list, you see the client, address, area, class and sales manager.

  • Closing and last assessment dates in the same list
  • Sites with an active schedule, ended sites and sites without a schedule shown separately
  • Contact, quality manager, chemicals budget and average score on the card
  • You mark which jobs belong to the site

Schedule planning

You link a schedule to a site and repeat it weekly, every other week, once or twice a month.

  • Cleaning once or several times a day, with start time and duration
  • Separate rate for night and holiday work
  • Cleaner on the schedule with hours, pay and the date until which they work
  • When you remove a schedule, pending cleanings disappear and completed ones stay in history

Cleaner calendar

You select a cleaner and see at which sites and on which days they work.

  • Jobs as a monthly table or a calendar
  • Click a day to see the client, site, both managers, start time and duration
  • Cleaner's key, hours per cleaning and pay
  • Substitute cleaner with hours and pay when the regular cleaner cannot come

Quality assessments

After a cleaning, you mark that an assessment is needed and assign an assessor.

  • Visit reason, date, time and duration
  • Questions scored with points and a comment
  • Average score, assessor and last assessment date on the site card
  • Complaint with a responsible person and status: accepted, in progress, completed

Warehouse and chemicals

You set a monthly chemicals budget for the site and the date it applies from.

  • Chemicals issued from the warehouse with quantity, date and unit price, reducing the stock
  • Share of the budget used, how much of the month has passed and the three-month average
  • Budget overrun visible on the site card
  • Fixed assets kept separately, with a return mark

One-off cleanings

You add a one-off cleaning to an existing site or at a new address.

  • Cleaning type, date, time, number of cleaners and extra equipment
  • Responsible person and estimated amount excluding VAT
  • Completed cleaning mark and invoice from the same card
  • Home page reminder when a week is left before the cleaning and no team is set

Recurring invoices

You add a client contract with a number, date and frequency from monthly to yearly.

  • Service, quantity, price, discount and VAT on the contract line
  • Advance mark and delivery method: e-invoice or email
  • Upcoming invoice in reminders
  • Approval of changed prices and a letter to the client

How the system benefits your business

A manager does not need to call a cleaner to find out where they work today. The site card shows when the chemicals budget is exceeded.

Sites and schedule

  • Site card

You see the client, address, area and both managers on one card.

  • Cleaning schedule

Cleanings repeat according to the schedule, so you do not plan them every week.

  • Cleaners and pay

On the schedule, you see the cleaner, their hours and pay.

Cleaners and quality

  • Cleaner calendar

You see a substitute cleaner and a canceled cleaning in the same calendar.

  • Quality assessment

On the site card, you see the average score and the last assessment date.

  • Complaints

A complaint is linked to the site, and its status shows whether it is already being handled.

Chemicals and invoices

  • Chemicals budget

You see how much of the monthly chemicals budget the site has already used.

  • One-off cleaning

For a completed cleaning, you issue the invoice from the same card.

  • Recurring contract

You send the recurring invoice by email or e-invoice, as set in the contract.
