Service centers

A system for a service company that repairs cars and equipment. For a car, you record the glass order, the service shop and the insurance claim. For equipment, you record the fault, the technician visit and the missing part.
  • In the order, you record the car with its VIN, plate and glass number
  • You order glass with a date and delivery location
  • You register an equipment fault and hand it over to service
  • You check a missing part in stock and order the rest from a supplier

Track all company processes

Work starts with registering an order or a fault. Next, you order glass or a part, plan the technician visit and track the status. At the end, you issue an invoice from the estimate.

Car order

In the order list, you see the client, phone, car, plate number and glass number.

  • Region, service shop, insurance company and claim number on the order
  • List filter by region, service shop, insurance company and date
  • Every status change with a comment in the progress history

Glass handling

For the glass, you record its number, where and when it was ordered, where it is delivered and who ordered it.

  • Status from new order to completed work and settled claim
  • Intermediate statuses "glass ordered", "waiting for client", "waiting for payment" and "shipping"
  • A separate status for a problem or inactive order
  • Email to the service shop, SMS to the client

Estimate and invoice

You add services and materials to the estimate and create an invoice from it.

  • Invoice recipient, type, date and payment due date
  • E-invoice flag when you need one
  • Service VAT, unit price, discount and unit of measure
  • The same prices and discounts in the price list

Partners

A partner is a service shop or an insurance company.

  • Company and VAT codes, contacts, address and website on the card
  • Responsible employee and contact person for each partner
  • You select the service shop and insurance company in the order from a list, without re-entering details

Warehouse

In the warehouse, you keep materials and parts with an item code, quantity and unit of measure.

  • List grouped by service
  • Price next to the stock balance
  • Material from the warehouse straight into the order estimate

Equipment fault

You register a fault as a problem before you hand it over to service.

  • Client and device may still be unknown at this stage
  • Work type, the basis you handle it under, and a description
  • Files attached to the problem
  • Once handed over to service - a service record with the fault description, address and responsible person

Technician visit

In the service list, you see the client, business line, work type, address and status.

  • Tentative arrival date and the date confirmed by the client
  • Assigned technicians, phone and email of the responsible person
  • Call-out fee with VAT, billable hours and hours spent
  • Arrival and departure times in the trip record, work start and end in the work report

Missing parts

For a part, you specify the supplier, device, name, number, quantity and unit price.

  • The warehouse marks whether the part is in stock and records the quantity available
  • Supplier order from the same lines with an expected delivery date
  • Supplier and supply status on the service line - you see whether the part is already ordered

Production

For a production record, you specify the client, business line, contacts, address and tentative arrival date.

  • Departments needed for the work
  • Records grouped into not started, in production and archived
  • A separate production list on the client card

Sales

For a sales inquiry, you record the client, contact and what the inquiry is about.

  • Product group and responsible employee
  • Status, priority, estimated amount excluding VAT and next contact date
  • Price, quantity, sale date, product code and contract number of sold equipment
  • Fault history of the same equipment

How the system benefits your business

The glass, the part and the invoice are attached to the same order. You see the status in the list, so you do not need to call a colleague or the service shop.
